Distributing products and services is the most common form of business sales transaction. Virtually all standard accounting packages handle it in some way or other.

To many, the InterAcct distribution system is the ultimate solution. It provides for all the practicalities of selling products and services, with numerous industry variations, plus the ability for the system to be personalised to suit individual requirements.

When entering a sales line, there is an ‘also known as’ search to locate a product item by their product code/number, the supplier product code, or the description. A customer’s product purchase history is also available to view at that point. Standing sales orders for a customer is another option.

Sales Orders can start out as a Quotation, and then be simply converted into a confirmed Sales Order – or Lost Business analysis. It for immediate despatch, back orders, and forward orders.

There is the option for automatic release of Backorders based on Priority or Date.

The current stock available is shown included that reserved for other sales orders (jobs). Any backorders link into a “Required to Purchase” file which can be used to automatically create and track purchase orders. Purchase order information is linked back to the Sales Order, Supplier, and Stock Item.

Multiple customer product price levels and discounts are catered for, with controls over the resultant gross profit margin. Any sales discounts are isolated for control purposes (possibly requiring a Manager’s password before acceptance).

Individual Customer Price Lists can be created and Sales commission (or Profit Share) can also be calculated. You can also calculate an indirect overhead cost amount in order to reduce the displayed profits and commission amounts.

For those product items where there are serial numbers, batch numbers (with Use by Dates ?), or colour dye batches, then those can be defined at the time of despatch. Another option relates to the Fashion Industry where sales orders can be entered by Style, Size, and Colour.

Typical standard reports would include Quotation, Order Confirmation, Packing Slip, Despatch Docket, Invoice, and Delivery Schedules. The layout of these reports can be easily personalised to suit.

There is both Sales Order and Sale Invoice sales/profit analysis. This can be for any period (day, week, month, etc.), for Product Item, Category or Group, Customer, and could be further analysed by Salesperson, Branch/Division, Industry, Region, Supplier, or Corporate Group.

Cash Receipts and Debtor Adjustments are linked back to a Sales Order/Invoice so that the Debtor’s balance owing on each invoice can be shown. The sales order becomes a mini accounting record in itself, with links back into the Debtor’s credit control record, and the normal security checks for Debtors On-Hold or Bad Debts.

A powerful system combining stock/warehouse control, sales order processing, purchasing, sales/profit analysis, and relating accounting functions. The Inventory control system offers multiple warehouse & bin locations, movements tracking by order, history of buy/sell and adjustments, and Suggested Re-Order reporting.
The Customer database has multiple delivery addresses, product purchase history, multiple Price Levels, and strong credit control processes. The focus is on speed of data input, accuracy, and simplicity. The Sales Order and invoicing systems offer initial quotations, back/forward order control, links for purchasing, and the option to sell by serial/batch numbers.
Purchasing also integrates with Import Shipment costing and tracks progress of stock deliveries back to the source sales order. Sales/Profit analysis is provided by multiple dimensions - product - customer - salesperson and by period (day, week, month).

Distribution Software Features:

Entering a sales order and raising an invoice should be uniform across industries and companies. But it isn't. InterAcct typically need to personalise their systems for each customer - add/changing/deleting the fields, files & menus to suit.
The "Quick" invoicing system is in the base InterAcct accounting system, and there is a separate software profile note on that. The Sales Order Processing (SOP) software module is optional - with a separate software profile note on that.
The I-POS system (InterAcct Point of Sale) is optional, with another software profile note available on that. Both the Quick and SOP systems allow you to first create a Sales Quotation and then later convert it into a Sales Order.
Both the Quick & SOP systems have the ability to manage Back Orders. SOP also handles Forward Orders. The SOP has a Back order Release system that allows limited stock to be released to cover back orders in a variety of different ways.
Both the Quick & SOP allow for automatic multi tiered selling product prices - including Customer Contract Pricing. Stock items that are available for sale can be 'reserved' prior to their physical despatch.
There is also a Delivery Schedule report available. There is an option to set a bundle (kit) of product items.
Both Quick & SOP allow the one sales order to be despatched several times as stock becomes available. Sales Order and Invoices update numerous sales/profit analysis files throughout the system. See a separate software profile.
The back order system updates the Required to Purchase (Make) file to automatically create Purchase Orders. The SOP system integrates with Purchase Orders and Imported shipments to track the movement of stock to when available.
With the SOP system, there are the options of Serial Number Stock Control, Batch Numbers with Use by Dates, and sale of Carpet Rolls. Another option with the SOP system is the sale of fashion items - in a matrix of by Style, Colour, and Size.
Stock can be despatched from multiple warehouse locations and bin locations. The system can print Quotations, Order Confirmations, Picking Slips, Despatch Dockets, Stock Labels, Cash Receipts, and Sales Invoices.
The distribution software system can interface with Bar Code Readers, Cash Drawers, Weighing Scales, EFTPOS, and Touch Screens.
