Quote Software Features:

  • As mentioned, there are several places within InterAcct where you can prepare a Quotation – prior to converting it to a “sale”.

  • Quotes are grouped into two separate areas – one relating to Jobs, and the other relating to Products & Services.

  • Within Jobs, there are three different areas to create a Quotation.

  • One is a “Quick” Estimate & Quote system where the job is broken down into “Tasks” and each task is costed/priced in summary by Cost Group rather than by Cost Item.

  • The main job quoting system is linked to doing a detailed Cost Estimate. The quote doesn’t need to be the exact sales value as calculated by the estimate, and there are different print formats depending on what level of detail is required.

  • However, you can do a Job Quotation without first doing a Cost Estimate. The most popular print format is “Line by Line” where each line contains a Heading and up to five lines of text. Each ‘line’ is copied into a Library for quick recall.

  • Quote clauses can be selectively printed (taken from your library of quote clauses), along with free format quote comments.

  • Win/Loss analysis can be recorded – reason, salesperson, competitor involved, etc.

  • Flexible software design – add/remove fields, files, menus to suit.
  •   Product & Service Quotes are normally a fore runner to preparing a Sales Order and invoice.
  • In the standard InterAcct system, the “Quick” invoicing system can be used also for preparing a Quotation.
  • All the normal product price level formulas are used (as with an invoice) such as – Customer Contract Pricing, Customer Price Levels, and ‘Default’ price levels.
  • Gross profit and margin is calculated, and it shows stock availability.
  • When ‘printing’ (or emailing a pdf file), you can note if a deposit is required on order.
  • With the quotation register, it shows the expected close date, probability, and the salesperson involved.
  • The date when the “goods” are required is also shown as a guide to purchasing requirements.
  • With the Sales Order Processing software module, quotes are also an option. This module has controls over Backorders, Forward Orders, and links to Purchasing & Importing.
  • Your “Terms & Conditions” can be shown on the Quotation, and there is provision for it to be signed by the Customer as an Order Confirmation.
  • Quotes can be converted into Won Jobs – updating various analysis files of business won by Lead Source.
